Additional Contacts on an item

The ADDITIONAL CONTACTS tab is used to add another person onto a purchase:

  • A seller for an item, such as a raffle ticket or a donation
  • A recipient of an item
  • An additional person on a membership item
  • An attendee for an event; in events, the additional contact is called the ATTENDEE. See Events - Understanding Attendees

Configuring Additional Contacts on an item

Additional Contact definitions are reusable in DonorPoint. You can select an existing definition from the dropdown menu or click the + next to Additional Contacts dropdown to create a new definition.

To create a new definition for an additional contact on an item, open the item and click on the ADDITIONAL CONTACTS tab in the left-side menubar. Then set the Additional Contact settings as described:

  • Name: Internal name for the definition. Choose a name that will make the use clear so you can easily find it in the dropdown menu for future use.
  • Prompt on Pages: This is the prompt that appears on the item when a buyer is purchasing it.
  • Rule type: This defines the number of possible additional contacts included on this item.
    • None
    • One: One additional contact per transaction.
    • Fixed: There are a fixed number of additional contacts possible (i.e. 1 adult for couples membership, or 2 children for a children’s art class).
    • Open Number: There are an unlimited number of possible additional contacts.
  • Include Buyer?: Should it be assumed that the buyer is one of the additional contacts?
    • Buyer – Assume that the buyer is one of the additional contacts.
    • Not Buyer – Assume that the buyer is not an additional contact (i.e. purchaser of a gift membership for another person)
    • Either / Prompt – The buyer may or may not be one of the additional contacts and the system will prompt the purchaser to make a selection.
  • Prompt For Contacts: If there are a fixed number of additional contacts, you may expose all of the fields for the contacts, or you may prompt the buyer to click “ADD” to add additional contacts as-needed. For larger numbers of additional contacts, this is preferred.
  • Number: Number of possible additional contacts on this item. Enter 999 if RULE TYPE is OPEN NUMBER.
  • Checkboxes: Select the information you want to collect for each additional contact.
  • Custom Fields: Add custom fields to collect additional information for each additional contact (i.e. t-shirt size, meal choice, etc.). You can SELECT an existing custom field, or create a new one. Add as many custom fields as you need.
  • Minimum Required: the minimum number of additional contacts that must be specified (includes the buyer if appropriate).
