Reports
There are several different report types in DonorPoint. Each type gives you specific information about your fundraising activities, including responses, transactions, and the amount of money raised and deposited to your account. DonorPoint can also provide reports on your contacts, organizations, email activity, and events.
Lists in DonorPoint
LISTS of entities in DonorPoint, such as Contacts, Organizations, and Transactions, are presented in a common format that allows for filtering the data, sorting, adding or deleting columns, and exporting the results to Excel for further analysis or processing.
Filtering and column selection
Filtering entities using the SEARCH box in the blue bar:
- Enter information into the SEARCH box in the blue bar and hit ENTER.
Filtering using the FILTER functionality:
Each entity type has a unique set of fields that the data may be filtered on.
- To filter entities click on the funnel icon in the blue bar. Enter information into the correct field, and click the SEARCH button.
- Filtering can take place on more than one column or field.
Column selection
The initial set of columns that appears on a list is predefined by the system. With a few exceptions all data in an item and a level down into supporting items are available. For example in a list of transactions, all transaction fields and contact and payment fields are available.
- To select the columns to be visible in the list click on the book icon in the blue bar.
- To add columns to the list, select the column you want to be visible from the Available Columns listbox. Click COPY to move the column into the Active Columns listbox.
- To remove columns from the list, select the columns you want to remove from the Active Columns listbox. Click REMOVE to remove the column.
- In the Active Columns listbox, highlight a field and use the UP, DOWN, FIRST, and LAST buttons to move the columns into the order you want them to appear in the list.
Views
Any list in DonorPoint can be saved as a separate VIEW. A view saves the filtered and selected columns as a named sublist that can be selected for viewing. Saved views are found on the VIEW DROPDOWN LIST on the blue bar.
- Save a list as a view by clicking on the folder icon in the blue bar. When prompted, give the view a name that will make it easy for you the find it in the VIEW DROPDOWN LIST later on.
Any view can be set to appear as the default for any entity list. To do this, check the DEFAULT VIEW checkbox when you create and name the new view. The system default view will be saved in the view dropdown list on the blue bar.
Export to Excel
Any list of entities in DonorPoint can be exported to Excel for further analysis or processing.
- To export a list click on the X icon in the blue bar.
Context Reports for Items and Activities
DonorPoint contains context-sensitive reports under categories, donation items, events, raffles, and auctions. These special reports allow you to see information related to the items without having to do advanced filtering for the specific fundraiser.
- Open the item or activity.
- Click on REPORTS in the left-side menubar.
- Select the report that you want to see.
- Reports can be filtered or have columns selected or removed as described under Filtering and Column Selection, above. These reports can also be exported to Excel for further analysis or processing as described under Export to Excel, above.
Context Reports for Emails
DonorPoint contains context-sensitive reports for Email. These special reports allow you to see information related to the specific email distribution. The reports in the system include summaries, bounce lists, opt-out lists, and response information.
- Click on EMAIL in the gray menubar. Select the EMAIL DISTRIBUTION tab at the top of the form.
- Locate and open the desired email distribution.
- Click on REPORTS in the left-side menubar.
- Select the report that you want to see.
- Reports can be filtered or have columns selected or removed as described under Filtering and Column Selection, above. These reports can also be exported to Excel for further analysis or processing as described under Export to Excel, above.
The INSIGHTS tab contains all of the DonorPoint reports for your account. The reports are divided into categories:
- Contacts and Organizations
- Transaction Reports
- Campaign Reports
- Finance Reports
- Communications Reports
- User Management Reports
- Other
When standard reports are run from the Insights tab the results returned are based on everything in your account. To find information on specific items, activities, or fundraisers, filter the Insights report to obtain the correct data or run a context-sensitive report from the activity or the fundraiser.
Favorite Reports
Marking a report as a FAVORITE moves it to the top of the INSIGHTS page for you to find more easily.
- To mark a report as a Favorite, click on the star icon near the report name.
Marking a report as a Favorite affects only the logged-in user. Each user can create his or her own list of Favorites.
Scheduled reports
You can set any report to run automatically on a set schedule and deliver via email to you or to anyone you choose. When you create a scheduled report a copy of the original report is made and saved under the SCHEDULED tab.
To set a scheduled report:
- Open the report.
- Click on the calendar icon on the right side of the blue bar.
- Set the START DATE and FREQUENCY that you want your report to run.
- Set the UNTIL information, to identify how long or how many times you want the report to run.
- Enter the EMAILS that you want the report delivered to. For multiple emails, be sure to separate them with semi-colons.
- Click on the SUBSCRIBE button to activate the schedule.
You can edit the details or the schedule of any scheduled report by clicking on the SCHEDULED tab under INSIGHTS.
To edit the details of a scheduled report:
- Open the copy of the report that appears under the SCHEDULED tab.
- Run the report.
- Click on the calendar icon on the blue bar.
- Update the information on the pop-up.
- Click on the blue UPDATE button to save your changes.
To unsubscribe from a scheduled report:
- Open the copy of the report that appears under the SCHEDULED tab.
- Run the report.
- Click on the calendar icon on the blue bar.
- Click on the red UNSUBSCRIBE button to save your choice.
Dashboards
Some reports combine summaries, charts, lists and links to system functions into DASHBOARDS. Dashboards are designed with specific purposes in mind, usually to track raffles, auctions, or team fundraising activities. See Dashboards for further information.
