Managing Events:

Offline registrations

New registrations for an event may be created from the Registrations tab on the event. Registrations created in this way will not be associated with a transaction and, therefore, will not appear on transaction, order, or batch reports.

Registrations can be exported to a csv file for further management or analysis. The Export button can be found on the Registrations tab on the event.

Seating assignments

Seating is managed from the Registrations tab on the event. Seating assignments are located on each individual registrant record. Tables and seats may be assigned to attendees or, if already assigned, may be switched.

Seating assignments for an entire event can be viewed in the “Registrations for Seated Events” report, located on the Reports tab under the event.

Activities

Activities are managed from the Activities tab on the event.

Limits

You can use the Limits functionality on events and event packages to control how many registrations are sold to an event and when those registrations are available for sale. By creating different event packages with different sale dates you can offer special early-bird or other types of registrations for buyers.

You can also limit the number of registrations sold to an entire event or to a specific event package as well as how many registrations can be purchased in a single transaction or by a specific email address. In this way you can keep unscrupulous buyers from buying up all available tickets to your event for later resale.

These settings are found on the Restrictions tab under the individual event packages.

Promotion Codes

You can use Promotion Codes to manage price discounts of the registrations, either a percentage of the purchase price or a specific amount. You can also use promotions to add items to the cart when a specific item is selected, replace that item with another item, or show hidden items.

Communicating:

When a purchaser completes a transaction a confirmation email is automatically generated which contains information such as the date of purchase, items purchased, and payment information. In addition, the system can also attach an HTML document which can contain additional information such as ticketing, parking instructions, directions to the venue, or other pertinent information.

DonorPoint can create a distribution list of all the registrants for your event. This list can be used to send email updates to your attendees whenever you want to communicate with them regarding updates, changes in event plans or other.

Day of tasks

On the day of your event, you will need to confirm attendance and check your registrants in as they arrive. DonorPoint offers several check-in reports that you can use for this purpose. Checking in a registrant sets a flag on the contact’s registration record that you can use later to determine your attendance statistics, including who attended the event.

Reporting:

DonorPoint has a variety of reports that you can use to track different information regarding your events. Transaction reports will help you to track the details of each transaction where a registration to your event was sold, including date and time of sale, payment method, and contents of any custom fields. Registration reports will help you track your registrants and any associated information, including seating assignments.
