Additional Contacts in raffles

ADDITIONAL CONTACTS in raffles can be used to set up a list of solicitors or sellers for raffle tickets. These sellers can be individuals, students, families, or other members of groups that can be created in DonorPoint.

The Additional Contacts tab is found under the raffle ticket item created in your catalog.

Additional Contacts definitions are reusable in DonorPoint. In this way you can set up standard definitions for raffle ticket sales. When creating an raffle ticket item, you can select an existing definition from the dropdown menu or create a new definition specifically for that item.

Configuring Additional Contacts as sellers/solicitors on a raffle or on an item

To create a new definition for an additional contact/seller on an item, open the item and click on the ADDITIONAL CONTACTS tab in the left-side menubar. Then set the Additional Contact settings as described:

  • Name: Internal name for the definition. Choose a name that will make the use clear so you can easily find it in the dropdown menu for future use.
  • Prompt on Pages: This is the prompt that appears on the item when a buyer is purchasing it.
  • Rule type: This defines the number of possible additional contacts/solicitors included in this item. For this purpose you will select the number of solicitors that you will accept on this item.
    • None
    • One: One solicitor per purchase
    • Fixed: There are a fixed number of solicitors possible (for example, 1 for a single ticket raffle purchase or 5 for a high priced sponsorship).
    • Open Number: There are an unlimited number of possible solicitors
  • Include Buyer?
    • Not Buyer – Set this field to NOT BUYER
  • Prompt For Contacts: If there are a fixed number of solicitors, you may expose all the fields for the full number of possible solicitors, or you may prompt the buyer to click “ADD” to add solicitors as needed - for more than one solicitor this is preferred.
  • Number: Number of total possible solicitors on this registration. Enter 999 if RULE TYPE is OPEN NUMBER. Otherwise, set to 1 for a single student or family solicitor
  • Checkboxes: Select the information you want to collect for each solicitor - “Contact Name” will require the purchaser to select a solicitor to complete the transaction, “Name Optional” will allow the purchaser to leave the field blank if they do not want to identify a solicitor.

To create a dropdown list of solicitors to select from:

  1. Open your raffle ticket item, either from the raffle or from the catalog.
  2. Click on the ADDITIONAL CONTACTS tab in the left side menubar.
  3. Create a new definition by clicking on the + icon on the Additional Contacts line.
  4. Enter the correct information into the fields. Click CREATE to save the definition.

Then:

  1. Edit the Additional Contacts definition by clicking on the pencil icon on the Additional Contacts line.
  2. Check the LOOKUP CONTACTS box and in the Lookup Segment field select the name of the SEGMENT that contains the list of solicitors. This will place a dropdown list of the solicitors on the raffle purchase form from which the purchaser can select a name. To learn more about segments see Segments

Click SAVE or SAVE AND EXIT to save the lookup information to the definition.
