Auctions

An Auction in DonorPoint supports fundraising auctions where donors bid on items. Bids are recorded by staff in the admin application; the winning bid is linked to the donor’s transaction.

Auction Setup

  1. Navigate to Activities → Auctions in the sidebar
  2. Create the Auction record
  3. Create Auction Items — each item with its description, opening bid, reserve price, and bid increment
  4. Add Auction Items to a Form for checkout after the auction closes

Auction Item Properties

Opening Bid Starting bid amount
Reserve Price Minimum acceptable bid
Bid Increment Minimum increment between bids

Bid Management

During the auction, staff record bids from the Auction Item edit page. Each bid is tracked with the bidder and amount. The winning bidder is linked to the item at close.

Invoicing

After the auction closes, BillingStatementBatch generates PDF invoices for winning bidders. The invoice is generated from a Document Template and sent as an email attachment. See Document Generation.

Checkout

Once the auction closes and winners are identified, each winning bid becomes a transaction. Donors can pay online via a form, or staff can enter payment in the admin application.
