Recurring Donation Management

A Recurring Donation is a scheduled giving commitment where DonorPoint automatically processes a payment on a defined schedule — weekly, monthly, annually, or on a custom frequency. This page covers managing recurring donations from the admin side.

For how donors set up recurring giving on a form, see Recurring and Installment Gifts.

Recurring Donation Record

Each recurring donation has:

Field Description
Contact / Organization The donor
Amount The amount charged per period
Frequency How often the charge runs: daily, weekly, monthly, annually, or custom
Start Date When the schedule begins
Status Active, Declined, Suspended, Completed, or Cancelled
Next Payment Date Calculated from frequency and last payment date
Payment Count Number of payments made to date
Payment Method The stored payment credentials used for each charge

Status Values

Status Meaning
Active Charges are processing normally
Declined The most recent charge was declined; the donor has been notified
Suspended Manually paused by staff; no charges will run
Completed All scheduled installments have been paid
Cancelled Permanently stopped; no further charges

Staff Actions

From the Recurring Donation edit view, staff can:

  • Charge Now — immediately process a payment outside the normal schedule
  • Suspend — pause the schedule without cancelling
  • Reactivate — resume a suspended schedule
  • Cancel — permanently stop the recurring donation
  • Send Update Request — email the donor a secure link to update their payment method
  • Update Payment Method — enter updated card or bank details directly in the admin

Nightly Processing

DonorPoint automatically charges all recurring donations scheduled for the current day each night. After each charge attempt:

  • A successful charge creates a new Payment transaction and sends a receipt email to the donor
  • A declined charge updates the status to Declined and sends a failure notification email

Donor Self-Service

Donors can view and manage their own recurring donations from the Donor Portal — seeing their schedule, requesting updates, and viewing payment history.
