Transaction Actions

The Transaction edit view provides a set of actions in the right-hand sidebar and across its tabs that allow staff to manage, correct, and process individual transactions.

Add Payment Apply a payment against a pledge Pledge and Invoice type transactions
Void Cancel an authorized unsettled transaction Active Received transactions within settlement window
Refund Issue a credit back to the donor Active Received and Payment transactions
Resend Receipt Resend the confirmation email to the donor All active transactions
Generate Document Generate a PDF from a Document Template in the context of this transaction When Document Templates are configured
Edit Contact Open the linked contact record Always

Transaction Tabs

Tab Content
Definition Core fields: contact, organization, form, amount, date, status, type, custom field values
Payment Payment method, payment record, authorization details, settlement status
Referral Referral source and tracking information
Details Line item (Order Item) breakdown: items selected, quantities, amounts, custom field values per item
Account Transactions Other transactions from the same account context, for cross-reference

Editing a Transaction

Most fields on a completed transaction are read-only to preserve the integrity of the financial record. Staff with appropriate permissions can edit:

  • Status (Active / Deleted / Test)
  • Custom field values
  • Notes and coding fields
  • Contact and organization linkage (for correcting mis-attributed transactions)

Bulk Operations

From the Transactions list view, staff can perform bulk status changes on filtered sets of transactions — for example, marking a set of test transactions as Deleted, or moving imported transactions from Test to Active status.
