Physical Mail
DonorPoint supports physical mail as part of a multi-channel communication strategy. Mail solicitation records track outbound physical mail, address lists can be exported for fulfilment by an external mail house, and Document Templates produce print-ready personalised documents.
Mail Solicitations
A Mail Solicitation records the fact that physical mail was sent to a contact. Fields include:
- Recipient name and address (captured at send time)
- Email sent date
- Last delivery status
Mail solicitations appear in the contact’s communication timeline alongside emails, calls, and meetings, providing a complete picture of all outreach.
Generating Address Lists for Fulfilment
To produce an address list for a mail house:
- Build a Segment of the contacts you want to mail — use dynamic query segments for sophisticated selection criteria
- Export the segment from the list view (Export → Excel or CSV)
- The export includes all selected columns — include name, address fields, and any custom fields needed for personalisation
- Provide the exported file to your mail house or merge it with your print template
Document Templates for Print
Use Document Templates to produce print-ready PDFs directly from DonorPoint:
- Appeal letters — personalised letters with donor name, address, giving history, and a specific ask
- Pledge cards — pre-filled pledge cards for workplace campaign mailings
- Tax receipts / acknowledgement letters — year-end receipts generated from transaction data
- Labels and envelopes — properly formatted address blocks for print
Set the document page size to match your print format (letter, A4, label dimensions) and use merge tags to personalise every piece.

Merge Tags in Print Content
The same merge tag system used in email works identically in Document Templates. Every #{CONTACTFIRSTNAME}, #{ADDRESS}, and custom field reference resolves to the recipient’s actual data when the document is generated.
Generate documents in bulk from the Transactions list view (Generate Documents) or from a contact segment using the appropriate report and export flow.
The Same System, Multiple Channels
Because DonorPoint uses HTML with merge tags for both email and print document templates, your personalisation logic is written once and works across both channels. A constituent appeal that works in email can be adapted for print with minimal changes.
