Item Restrictions

Item restrictions control when an item is visible on a form and who can see or purchase it. They are configured on the Restrictions tab of the Item edit page, via the Assignability settings.

Availability Dates

You can set a start and end date/time for when the item is available on forms.

• Start Date — the item is hidden on forms before this date/time
• End Date — the item is hidden on forms after this date/time

When the item is outside its availability window, it either disappears from the form or shows a “not available” message depending on the form configuration.

Use when: Early bird pricing (end date after which the early bird item disappears), timed donation matching periods, or seasonal items.

Login Restriction

When Login Required is checked, the item is only visible to donors who are logged in. Donors who are not logged in will not see this item on the form.

Use when: Employee-only items on a workplace campaign, items restricted to members, or items that require a known identity to process.

Group Restriction

Items can be restricted to a specific User Group. Only donors whose UserAccount belongs to the specified group can see and select this item.

Use when: Multi-employer forms where certain items are employer-specific; VIP giving levels restricted to a named group of donors.

Quantity Limits

Stock Limit (Total Cap)

The Stock Limit sets the maximum number of this item that can be sold across all transactions. Once the limit is reached, the item becomes unavailable on all forms.

• Leave empty for unlimited availability
• When stock is exhausted, the item shows a configurable “none available” message

Use when: Limited-quantity items like event seats, auction items, raffle bundles, or merchandise with limited inventory.

Per-Transaction Limit

The Limit field sets the maximum quantity a single donor can purchase in one transaction.

Use when: Limit raffle ticket purchases to 10 per person; limit event seats to 4 per transaction.

Unique Item

When Unique Item is checked, only one of this item is allowed per transaction regardless of quantity selected. This is the default for donation items.
